Cushions are the classic awkward shipment: enormous volume, almost no weight. Get the packing and the freight terms right and this is one of the easiest products to ship anywhere in the world. Get them wrong and you pay for air freight on a sofa.
Vacuum compression is the key
Cushions are compressed into vacuum bags before shipping. A 45 cm cushion drops from roughly 12 litres of air to well under 1 litre. A standard carton then holds 20 to 30 compressed cushions instead of four.
- Compression ratio — typically 5:1 to 8:1 depending on the fill.
- Recovery time — polyester fibre fill recovers fully within 24 hours. Memory foam and down need longer and should not be compressed for extended periods.
- Vacuum bags are not a return — cushions must be opened and left to expand. Include an instruction card; it costs nothing and prevents complaints.
Freight is charged on volume, not weight
Carriers bill on the greater of actual weight and volumetric weight (length × width × height in cm, divided by 5000 for air freight). A compressed cushion shipment lands in the volumetric bucket almost every time.
What this means practically:
- Air express (DHL, FedEx) — 3–7 days door to door, best for samples and urgent restocks.
- Consolidated sea freight — 15–35 days, by far the cheapest for finished goods above roughly 200 pieces.
- Rail — a good middle option for Europe, around 18–25 days.
- Rail and sea are the only sensible choice for large volumes. Air freight on a full container of cushions is simply wasteful.
Incoterms, and what to pick
| EXW | You collect from our factory. You arrange everything. Most control, most work. |
| FOB | We deliver to the port or origin terminal. Standard for sea freight. |
| CIF | FOB plus freight and insurance to your destination port. We handle the shipping. |
| DDP | Delivered to your door, duties and taxes included. Simplest for buyers, but note it means we handle customs clearance in your country. |
For first-time buyers, DDP removes the most common source of problems — unexpected duties, clearance paperwork and the question of who pays the demurrage. If you have a freight forwarder you trust, FOB or CIF often works out cheaper.
Customs and duty
Cushions are usually classified as home furnishings or textile goods. Duty rates vary by destination and are usually modest, but you need the right paperwork or the shipment will be held.
- Commercial invoice — required, with the agreed value, quantity and product description.
- Packing list — piece count, dimensions, gross and net weight.
- Certificate of origin — often requested; we can supply it.
- Material and fibre content — some countries require this on textile goods, and it is worth checking your importer’s requirements before the goods ship.
Labelling for a smooth arrival
- Retail-ready cartons — polybagged units in a master carton with a printed label showing your PO number, item, quantity and carton number.
- Carton marks — if you receive multiple cartons, mark them clearly so the delivery team can allocate them without opening anything.
- Include a packing list inside carton one — it saves a phone call if something is short.
A realistic timeline
- Production — 7 to 25 days depending on quantity
- Ready to ship — 1 to 2 days for compression, packing and documentation
- Air freight — 3 to 7 days
- Sea freight — 15 to 35 days including port handling
